What is an AI receptionist?
An AI receptionist is a phone assistant that answers your calls in a natural voice. It can answer questions about your hours, services and prices, book appointments straight onto your calendar and take down the caller's details. In the video, Rob sets one up using a tool called Rosie.
There's no hold music and no "press 1 for sales" menu. The caller gets an answer right away, and you get what you need to follow up.
How do you set up an AI receptionist?
- Give it your website or Google Business Profile link. The AI reads your hours, services and location, so you don't have to type it all in.
- Check what it pulled. If your website is out of date, the AI will tell callers the wrong thing. Fix your hours and services first. If the whole site feels dated, this website before and after shows what a rebuild can fix.
- Write your greeting. Make it sound like your business, not a robot.
- Add your top two or three questions. Pricing, service fees and service area are what callers ask most.

- Forward your calls. The system gives you a forwarding number to connect through your phone carrier.
- Test it. Call the number yourself and try to book an appointment.
When should the AI answer instead of you?
You have three choices:
- Overflow: your phone rings first, and the AI picks up only if you don't. Best if you like answering calls yourself.
- After hours: the AI covers nights and weekends, when a lot of people look for help.
- Every call: the AI answers everything and texts you the details. Best for owners who are on job sites all day.
What happens after the call?
The moment the call ends, you get a text with the caller's information and any appointment it booked. That text is the start of your follow-up, and speed still matters: calling back in five minutes beats calling back tomorrow. Is an AI receptionist worth the cost?
When Rob recorded this video, Rosie's plans started at $49 a month. That's far less than a part-time receptionist or a per-minute answering service. The math is simple: if one caught call turns into one job a year, it has paid for itself. For a contractor or a law firm, one job is often worth much more than a year of the tool.

Will callers know they're talking to AI?
Some will. Today's AI voices sound natural and answer right away with no menus, which most callers prefer to voicemail. You can write a greeting that's upfront about it.
Can an AI receptionist book appointments?
Yes. It can book straight onto your calendar and text you the caller's details and the appointment when the call ends.
Do I need a new phone number?
No. You keep your number and forward calls to the AI, either all the time, after hours, or only when you don't pick up.
